This policy explains how Haysinda (“we”, “us”) handles personal information when you visit our website, contact us, use Marvella ERP and AI agents, or interact with our advertising on Meta (Facebook/Instagram).

1. Who we are

Haysinda develops and operates Marvella, a multi-tenant ERP and AI agents platform. The central marketing site (for example haysinda.online or haysinda.com) is separate from each customer’s dedicated Marvella subdomain (for example yourcompany.haysinda.online).

2. Scope

This policy applies to: (a) visitors of our central website and contact form; (b) users who sign in to a company’s Marvella tenant portal; (c) data processed through Marvella AI agents (chat and voice, where enabled); and (d) leads or visitors who reach us through Meta advertising or lead forms that link to this policy.

3. Information we collect

Depending on how you interact with us, we may collect:

  • Identity and contact details — name, email, phone, company name (for example via our contact form or sales inquiries).
  • Account and business data — login credentials, role, tenant configuration, and ERP records you or your organization enter into Marvella (finance, inventory, parties, bookings, and related modules).
  • Communications — messages you send to support, contact inquiries, and content of conversations with AI agents where that feature is enabled.
  • Technical data — IP address, browser type, device information, timestamps, and security logs needed to operate and protect the service.
  • Advertising data — if you interact with our Meta ads or lead forms, Meta may share lead fields (such as name, email, or phone) with us according to your submission and Meta’s policies.

4. How we use information

We use personal information to:

  • Provide, secure, and improve Marvella and related support.
  • Respond to demos, sales, onboarding, and support requests.
  • Operate AI agents using your organization’s authorized ERP context—not to sell your ERP data to third parties for their own marketing.
  • Send service-related notices and, where permitted, marketing about Haysinda/Marvella (you may opt out of marketing).
  • Comply with law, enforce terms, and prevent fraud or abuse.
  • Measure and improve advertising campaigns on Meta platforms when we use Meta tools (see section 7).

5. Legal bases (where applicable)

Where data protection laws require a legal basis, we rely on: performance of a contract or steps before entering a contract (providing Marvella to customers); legitimate interests (security, product improvement, B2B communication); consent where required (for example certain marketing or cookies); and legal obligations.

6. Sharing with service providers

We do not sell your personal information. We may share data with trusted processors who help us run the service, such as:

  • Cloud hosting and infrastructure providers.
  • Email and notification delivery services.
  • Telephony or messaging providers (for example Twilio) when voice or SMS features are enabled.
  • AI and speech providers when your tenant uses AI agents (requests are scoped to your authorized use).
  • Payment processors, if applicable to your subscription.

These providers process data only on our instructions and under appropriate agreements. We may also disclose information if required by law or to protect rights and safety.

7. Meta (Facebook / Instagram) advertising

If we run ads or lead forms on Meta platforms, Meta may collect information through pixels, cookies, or form submissions as described in Meta’s own privacy policy. We use such data to deliver ads, measure performance, and follow up on leads you choose to submit. You can control ad preferences through your Meta account settings. Our website privacy choices (section 8) apply to our own site; Meta’s tools on third-party pages are governed by Meta.

8. Cookies and similar technologies

Our central site may use essential cookies for language preference, security, and session management. Customer portals may use additional cookies required for authentication and ERP functionality. You can limit cookies through your browser settings; some features may not work without essential cookies.

9. AI agents

Marvella AI agents answer questions using data your organization has permission to access within ERP. Conversations may be logged for quality, security, and support. Do not submit unnecessary personal data in free-text prompts. Your organization’s administrator controls user access and agent features.

10. Retention and security

We retain information for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements. Tenant business data is retained according to your contract and administrator actions. We apply technical and organizational measures such as access controls, tenant isolation, and encryption in transit where supported.

11. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing, and to withdraw consent where processing is consent-based. Marvella customers should contact their organization’s administrator for ERP account data. For requests relating to Haysinda as controller of website or lead data, contact us using the details in section 14.

12. Children

Marvella is a business platform not directed at children under 16. We do not knowingly collect personal information from children.

13. International transfers

Your data may be processed in countries where we or our processors operate. Where required, we use appropriate safeguards for cross-border transfers.
